Organization of the SCC Digital Week for SCC France
With 22 agencies in France, the subsidiary SCC France is one of the leading private IT groups operating throughout Europe. In October 2020, in the middle of the covid-19 crisis, the group called on evea to transform their traditional kick-off into a 100% virtual event. The SCC Digital Week was born!
The challenge
- Reservation of 3 video recording studios for the filming of the 40 Digital Week workshops
- Development of the registration and viewing platform
- Monitoring to ensure the proper coordination of the workshops and their accessibility to the 1,300 registrants
- Digital communication to maximize the participation rate to the event
To follow the event closely and ensure its success, our team went to the Parisian recording studio, while our digital project manager oversaw the global monitoring from our agency in Montpellier. Evea was on all fronts!
The keys to success
An anticipatory communication strategy to optimize registrations for this large-scale virtual event:
- Creation of a teaser video,
- Development of an ergonomic website to facilitate navigation and access to conferences,
- Presence of a chat to promote interaction between participants, (it is not a chat bot but a simple chat to participate in the retransmission)
- Emailing campaign before the event,
- More than 400 boxes were packed and sent to thank the participants for their interest… and to close the event in style!
One more experience!
In retrospect, this was the largest virtual event our agency has ever had to organize from start to finish. A real technical challenge that makes us shudder with excitement! With 1,300 final participants, our global communication strategy had paid off. The next step was to ensure the smooth running of the conferences throughout Digital Week. That’s probably where we learned the most: live coordination of the technical staff, remote monitoring, 4G backup… There’s nothing like experience in the field to build a formidable capacity for adaptation!
